Hawaii Interpreters and Translators Association (“HITA,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, retain, and share information when you visit hawaiitranslators.org, contact HITA, submit a Membership Application, or use website features such as event and resource links.
Please do not submit confidential, sensitive, medical, financial, or other protected information through the website’s general Contact form.
Information We Collect
Contact information
When you use the Contact form, we collect your first name, optional last name, email address, message, and privacy-consent response. If you contact HITA by email, telephone, or mail, we may also receive the information included in that communication.
Membership Application information
When you submit the Membership Application, we collect:
- First and last name
- Mailing address, city, state, and ZIP code
- Telephone number
- Email address
- Primary and secondary language information
- Any optional additional-language information
- Privacy-consent response
The Membership Application may also record limited browser, device, and source-page metadata for form administration, security, and troubleshooting.
The Membership Application does not collect payment-card information. If membership payment is handled separately through another service or method, that transaction is governed by the applicable provider’s privacy practices.
Automatically collected technical information
Our hosting, security, and website systems may automatically record limited technical information such as Internet Protocol address, browser or device type, requested pages, referring page, and request date and time. This information is used to operate, secure, and troubleshoot the website.
How We Use Information
HITA may use information to:
- Respond to questions and requests
- Review and administer membership applications and approved memberships
- Administer HITA activities and events
- Maintain and improve the website
- Protect the website, HITA, and visitors from misuse or security threats

How We Share Information
HITA does not sell or rent personal information and does not use it for targeted advertising.
HITA may share limited information:
- With authorized HITA administrators who need it to respond to a request or administer membership

Retention
Contact-form submissions are reviewed for deletion after 90 days. Membership applications are reviewed for deletion after 12 months.
Information may be retained longer when needed to respond to an active inquiry, process an active application, administer an approved membership, maintain security or appropriate organizational records, or comply with legal obligations.
These periods are administrative review schedules rather than automatic deletion guarantees. Limited copies may also remain temporarily in secure backups or system logs according to normal backup, security, and deletion schedules.
Cookies and Similar Technologies
The website may use cookies or similar technologies necessary for WordPress administration, security, form operation, or essential website functions.
HITA does not currently use cookies for targeted advertising. If analytics or optional tracking technologies are introduced, this policy must be updated accordingly.
Data Security
HITA uses reasonable administrative and technical measures intended to protect information from unauthorized access, loss, misuse, or alteration. No website, transmission method, or storage system can be guaranteed completely secure.

Visitors may choose not to use the Contact form and instead contact HITA by telephone or mail.

Children’s Privacy

HITA is based in Hawaiʻi, United States. Information submitted by visitors outside the United States may be processed in the United States, where privacy laws may differ.
